Position Description

 

Position Title: Secretary for the Director of Elementary Education and Title I

Qualifications:              Required: The ability to demonstrate skills and knowledge of relevant software, problem solving, organization skills and strong planning.

ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned):

  • Answers incoming calls and performs other receptionist duties for the elementary office.
  • Performs routine secretarial functions for the elementary director as needed (budgeting, mailing, coping, entering requisitions, processing instructional materials.)
  • Coordinates and assembles documents, such as curriculum guides, meeting handouts and Title I compliance requirements.   
  • Prepares written responses to routine inquiries
  • Prepares and modifies documents including correspondence, reports, drafts, memos, emails, and Board items.  
  • Schedules and coordinates meetings, appointments and travel arrangements.
  • Maintains records and files for the department. 
  • Works in a team capacity with administrators and other secretaries in the administrative departments.
  • Maintains database records and data documents.
  • Creates graphic presentations, spreadsheets, and charts as needed.
  • Prepares reports for State audit of Title I.   
  • Other jobs assigned by Director of Elementary Education.

 

 

 

Other Requirements:

Language Skills: Ability to read and interpret documents such as computer software manuals and procedure manuals.  Ability to write procedures for employees and communications to employees.  Ability to communicate with employees to train. Ability to translate others’ rough ideas into polished pieces.

Mathematical Skills: Ability to add, subtract, multiply and divide all units of measure, using whole numbers and decimals.  Ability to compute rate, ratio and percent.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Other Skills and Abilities:  Ability to establish and maintain effective working relationships with students, staff and the community.  Ability to perform duties with awareness of all district requirements and Board of School Trustees policies.
